Documents (Counselor View)

The Documents section shows all documents uploaded by your students, along with their approval status.

Document review queue

At the top of the Documents page, the Pending Review section shows all newly uploaded documents awaiting your action. For each document you can:
  • Preview — click to view the file inline
  • Approve — mark the document as valid and acceptable
  • Reject — mark as invalid and add a note explaining what’s wrong (the student will be asked to re-upload)

Approving a document

  1. Click on the document name to preview it.
  2. Verify it matches the required type (correct name, not expired, legible).
  3. Click Approve.
The student receives a notification that their document was accepted.

Rejecting a document

  1. Click on the document name.
  2. Click Reject.
  3. In the rejection dialog, enter a reason — be specific so the student knows what to fix.
    • Example: “Passport pages must show the photo page AND the signature page. Please re-upload both pages as a single PDF.”
  4. Click Confirm Rejection.
The student receives a notification with your rejection note and is prompted to upload again.

Requesting documents from a student

  1. Go to Students → [Student Name] → Documents.
  2. Click Request Document.
  3. Select the document type and add instructions.
This creates a task for the student automatically.

Document expiry tracking

Documents with an expiry date (passports, language test results) are automatically flagged when they expire. You will see an Expired badge on these documents. Prompt the student to upload a valid replacement when you see this.
