Managing Documents
The Documents section is where you store all files needed for your university applications — passports, transcripts, personal statements, and more.
Document categories
Documents are organised by type:

| Academic | Transcripts, certificates, diplomas |
| Language | IELTS/TOEFL/Duolingo certificate |
| Financial | Bank statements, scholarship letters |
| Supporting | Personal statement, CV/Resume, reference letters |
| University-specific | Any additional document requested per university |
Uploading a document
- Click Documents in the left sidebar.
- Click the Upload Document button (top right).
- A dialog opens — fill in:
- Document type — select from the dropdown
- Name — a clear label (e.g., “Passport — Jane Doe”)
- File — drag and drop or click to browse
- Expiry date (optional) — for passports, language tests, etc.
- Click Upload.
Accepted formats: PDF, JPG, PNG, DOCX. Maximum file size: 10 MB per document.
Document statuses
| Status | What it means |
|---|
| Pending Review | Uploaded, waiting for counselor to verify |
| Approved | Counselor confirmed the document is valid |
| Rejected | Document has an issue — see the rejection note |
| Expired | The document’s expiry date has passed |
If a document is marked Rejected, click on it to read the note explaining why, then upload a corrected version.
Replacing a document
To upload a newer version of an existing document:
- Find the document in the list.
- Click the ⋮ menu on the right side of the document row.
- Select Replace and upload the new file.
The old version is kept in history — it is not deleted.
Document checklist
At the top of the Documents page, you will see a Checklist section showing which documents are required for each of your active applications. Items with a ✅ are complete; items with a ⚠️ still need your attention.
